"Virtual queue management system" and "customer queue management system" are often used interchangeably, but there's a useful distinction worth understanding before you shop for one.
Virtual queue vs. traditional queue management
- Traditional / kiosk-based queue management: customers take a printed ticket from a machine and wait, physically, near a display board until called.
- Virtual queue management: customers join a queue remotely — usually by scanning a QR code — and track their position from their own phone, from anywhere, without standing in a physical line.
The word "virtual" refers to where the customer waits: not in the building, but wherever they choose, watching their position update live.
How a QR-based virtual queue actually works
- A QR code is placed at reception (or shared digitally for pre-visit check-in).

- The patient's position and estimated wait update live as the queue moves.
- Staff call the next patient from a simple front-desk console — no separate kiosk hardware needed.

A kiosk-based system may still make sense for very high-footfall, walk-in-heavy environments (large government offices, airports) where not every visitor carries — or wants to use — a smartphone.
